ChatGPT vs. Claude vs. Gemini vs. Copilot for Business

Every business owner we sit down with eventually asks some version of the same question: “Which AI tool should we actually be using?” There’s no single right answer, but there is a right way to think about it. Here’s the plain-language version of what we cover in our workshops.

ChatGPT (OpenAI)

The one most people have already heard of, and often already used at home. It’s a strong generalist: great for drafting, brainstorming, research, and increasingly capable at more technical work through its Advanced Data Analysis and custom GPT features. If your team already has informal ChatGPT habits, it’s often the path of least resistance for formalizing AI use.

Best fit: teams that want one flexible tool for a wide range of writing, research, and analysis tasks, and don’t need deep integration with existing business systems out of the box.

Claude (Anthropic)

Claude has built a strong reputation for longer, more careful writing and for handling large documents well — contracts, reports, transcripts — without losing track of details. It also tends to be a favorite among technical teams for coding help. If your business deals with long documents or wants an assistant that’s cautious and thorough rather than fast and loose, Claude is worth a serious look.

Best fit: teams doing heavy document work, technical/coding tasks, or anyone who wants a more careful, detail-oriented assistant.

Gemini (Google)

If your business already runs on Google Workspace — Gmail, Docs, Sheets, Drive — Gemini’s biggest advantage is that it’s built directly into tools your team already uses every day. Drafting an email in Gmail, summarizing a long thread, or building a first-draft spreadsheet formula all happen without leaving the app.

Best fit: Google Workspace shops that want AI to show up inside their existing tools rather than as a separate destination.

Microsoft Copilot

Same idea as Gemini, but for the Microsoft 365 world — Outlook, Word, Excel, Teams. If your business runs on Microsoft’s stack, Copilot’s advantage is the same: it meets your team where they already work, and it can pull context from your actual files and email (with the right permissions) rather than starting from a blank page every time.

Best fit: Microsoft 365 shops, especially teams that spend a lot of time in Excel, Outlook, and Teams.

So which one should you pick?

For most of the businesses we work with, the honest answer is: it depends less on which tool is “best” and more on where your team already lives. A Google Workspace company adopting Gemini has a much shorter path to real daily use than the same company trying to bolt on a completely separate tool. The same is true in reverse for Microsoft 365 shops and Copilot.

Where things get more interesting is when a business isn’t tied to one ecosystem, or wants a second tool for a specific use case — heavier writing and document work often pulls people toward Claude, while broad general-purpose flexibility often points to ChatGPT.
